Getting started
How do I get started as a business?For businesses
Sign up free, complete the short onboarding to create your business, then add your first service and your weekly availability. You’ll get a personal booking link to share with clients — they can book in seconds.
Where do I find my booking link?For businesses
Your booking link is shown on your dashboard and in Settings. It looks like clientflows.uk/book/your-name — share it on Instagram, WhatsApp, or your website.
What should I set up first?For businesses
Three things: add at least one service (with duration and price), set your weekly availability, then open your booking link and make a test booking to see exactly what clients see.
How much does ClientFlows cost?For businesses
The Free plan covers core booking for one person, forever. Paid plans add the client portal, intake forms, waitlist, analytics and team seats. See the Pricing page for a full comparison — there are no contracts and no card is needed to start.
Online booking
Do my clients need an account to book?For businesses
No. Clients can book as a guest with their name, email and phone number. They can optionally create an account afterwards to manage their appointments in the client portal.
Why is a phone number required when booking?For clients
The business needs a way to reach you if something changes at short notice. Your number is only visible to the business you book with.
Will I get a confirmation?For clients
Yes — you’ll get a confirmation email straight away, including a calendar file so you can add the appointment to your own calendar.
Can I turn online booking off temporarily?For businesses
Yes. You can disable your public booking page from Settings — for example while you’re away — and re-enable it any time.
Calendar & availability
How do I set my working hours?For businesses
Go to Availability in your dashboard and set your hours for each day of the week. Each staff member has their own hours, and you can add breaks within a day.
How do I block out a holiday or appointment?For businesses
Use blocked time from the Availability or Calendar pages. Blocked periods are removed from your public availability immediately.
Can I sync bookings to Google or Apple Calendar?For businesses
Yes, on paid plans. Settings → Calendar sync gives each staff member a private feed URL to subscribe to from Google Calendar, Apple Calendar or Outlook. The feed updates as bookings change.
Clients & the portal
Can clients cancel or reschedule their own appointments?For businesses
Yes, if you enable the client portal. Registered clients can cancel or reschedule within the cancellation window you set in your booking rules. You can also do it for them from your calendar.
How do I sign in to manage my appointments?For clients
If you created an account when booking (or afterwards), sign in with your email — you’ll get a secure sign-in link, no password needed. Your portal shows upcoming and past appointments.
What’s the difference between a client and a guest?For businesses
Guests booked without creating an account; registered clients have portal access. Both appear in your Clients list with their booking history, and a guest converts to a client automatically if they create an account with the same email.
How do I update my contact details?For clients
Sign in to the portal and open your details page. Changes apply to your future bookings with that business.
Payments & earnings
How do payments work?For businesses
Clients pay you directly using whatever method you already accept — ClientFlows tracks each booking’s payment status and your earnings, but does not take a cut of your bookings. Your ClientFlows subscription itself is billed securely through Stripe.
How do I record a payment?For businesses
Open the booking and set its payment status — paid, part-paid or unpaid — with the amount. Earnings and analytics update immediately.
Can I send an invoice or receipt?For businesses
Yes. Generate an invoice or receipt from any booking on the Invoices page. The layout is print-ready and includes your business details.
How do I change or cancel my subscription?For businesses
Go to the Billing page in your dashboard to upgrade, downgrade, or manage your subscription through the Stripe customer portal. There are no contracts.
Reminders & notifications
How do reminders work?For businesses
ClientFlows automatically emails clients a reminder before their appointment, and sends confirmation, cancellation and reschedule notices. You control which emails are sent in Settings → Email notifications, and clients can unsubscribe from any non-essential email.
What’s a waitlist?For businesses
When a day is fully booked, clients can join the waitlist for that service. If a spot opens up (for example, after a cancellation), everyone waiting is emailed a link to grab it.
How do push notifications work?For businesses
Enable push notifications from Settings (or when prompted) to get booking alerts on your device — new bookings, cancellations and reschedules. Works on desktop and on installed mobile apps.
Teams & permissions
How do I add staff?For businesses
On a Business plan, go to Staff and invite teammates by email. They accept the invite, get their own login, and appear with their own calendar and availability.
What can each role do?For businesses
Owners control everything, including billing. Admins manage bookings, clients, services and staff. Staff see and manage their own calendar and bookings. Roles are enforced across the whole app.
How many staff can I add?For businesses
The Free and Solo plans are for one person. Business 15 supports up to 15 team members, Business 50 up to 50. You can upgrade any time from Billing.
Intake forms
What are intake forms?For businesses
Custom questions clients answer while booking — consultation details, preferences, consent confirmations, even file uploads. Build them per service on the Forms page (paid plans).
Where do I see clients’ answers?For businesses
Responses are attached to the booking — open it from the calendar or bookings list. Uploaded files are stored privately and only your team can download them.
Privacy & your data
Is my data safe, and what about GDPR?For businesses
Your data is stored securely in the EU/UK region with strict tenant isolation. From Settings → Your data & privacy you can export everything we hold or permanently delete your account at any time. See our Privacy Policy for the full detail.
What happens to my data if I delete my client account?For clients
Your login is removed and the personal details held about you — name, email, phone, notes and intake form answers — are anonymized. Businesses keep only anonymized, non-identifying booking records.
Can I export my data?For businesses
Yes. Business owners can export bookings and clients as CSV, and download a complete account export from Settings → Your data & privacy.
Troubleshooting
A confirmation or reminder email hasn’t arrivedFor businesses
Check the spam/junk folder first, and confirm the email address on the booking is correct. Owners can check Settings → Email notifications to confirm that email type is enabled. Still missing? Contact support with the booking time and email address.
I can’t sign inFor clients
Portal clients: request a fresh sign-in link — links expire after a short time, and the newest email supersedes older ones. Business users: use “Forgot password” on the sign-in page, or the same email provider button you signed up with.
My booking link says booking is unavailableFor businesses
The business has paused online booking, or there’s no availability set. Owners: check that booking is enabled in Settings and that at least one service and weekly availability exist.
My calendar feed isn’t updatingFor businesses
Calendar apps refresh subscribed feeds on their own schedule — Google Calendar can take several hours. If it never updates, remove and re-add the feed URL from Settings → Calendar sync.
How do I install the app on my phone?For businesses
Open ClientFlows in your phone’s browser: on iPhone use Share → “Add to Home Screen” in Safari; on Android use the install prompt or menu → “Install app” in Chrome.
